Privacy & cookie notice
Set Up & Seen is the trading name used by a UK sole trader and is the controller responsible for the personal information described in this notice. The business is based in Worcestershire and provides website, branding, social media and marketing services throughout the UK. The proprietor’s full legal identity and address for formal correspondence are supplied directly with every written proposal before a service contract is formed.
Information we collect
When you enquire or become a client, we may collect your name, business name, email address, telephone number, chosen service, project information, correspondence, proposal and payment records. If you follow our first-website email campaign link or enquire from the package finder, the campaign reference and package suggestion are included with your enquiry message. The finder works in your browser and does not require an email address to show a recommendation. These features do not add tracking cookies or store your answers between visits. Our hosting systems may also process limited technical information such as your IP address, browser type, device information and request logs for security and reliable website delivery.
Prize draw entries
When you enter a Set Up & Seen prize draw, we collect the information shown on the entry form, including your name, business details, contact details, eligibility confirmations, social profile name and marketing preferences. We use this information to administer the draw, check eligibility, select and contact the winner, award the prize, demonstrate that the promotion was administered fairly and handle questions or complaints. This processing is necessary for our legitimate interests in running a fair promotion and, where applicable, to take steps connected with awarding the prize.
Marketing choices are separate and optional. We record only the channel or channels you positively select. This may include website advice, Set Up & Seen services and special offers such as a runner-up offer. You may withdraw marketing consent at any time.
Why we use your information
- To respond to enquiries and take steps you request before entering a contract.
- To prepare proposals and provide agreed services under a contract.
- To keep financial and business records where we have a legal obligation.
- To operate, secure and improve the website where this is in our legitimate interests and does not override your rights.
- To send marketing only where we have the appropriate consent or another lawful basis, with a clear way to opt out.
We do not sell personal information.
Who we share information with
We use service providers only where needed to run the website and business. These include Netlify for website hosting, deployment, security, spam filtering, and the processing and storage of enquiries and prize draw entries submitted through Netlify Forms; Stripe when a customer uses an agreed payment link; and our email and document providers. Information may also be shared with professional advisers or public authorities where legally required.
Some providers may process information outside the UK. Where this happens, we use providers that state they apply recognised safeguards, such as an adequacy decision or approved contractual protections, as required by UK data protection law.
How long we keep it
Unsuccessful enquiry records are normally deleted within 24 months. Prize draw entry and administration records are normally deleted within 12 months after the prize is awarded, unless they are needed for a complaint or legal obligation. Marketing contact details are kept until consent is withdrawn, the information is no longer needed, or our records show that continued contact would be inappropriate. Client contracts, invoices and related transaction records are normally retained for six years after the end of the relevant financial year, unless a longer period is required for a dispute or legal obligation. Payment-card details are handled by Stripe and are not stored by Set Up & Seen. Technical security logs are kept only for the period reasonably needed to protect and operate the website.
Cookies and similar technology
The website uses essential technology required for security, access and reliable operation. It also uses Google Analytics in consent mode to understand visits, page use and general website performance. Analytics storage is denied by default. Before you accept analytics cookies, Google receives limited cookieless measurement signals but Google Analytics does not read or write analytics cookies on your device. If you select “Accept analytics cookies”, analytics storage is enabled and the cookies listed below may be used for fuller visit and session measurement. You can change your choice at any time using the Cookie settings button.
Advertising storage, advertising user data and advertising personalisation remain disabled. Google Signals and advertising-personalisation features are also disabled in the website tag. Google may process analytics information outside the United Kingdom. Where this happens, the service relies on approved safeguards for international transfers. We do not use advertising cookies.
Your rights
Depending on the circumstances, UK data protection law may give you rights to access, correct, erase or restrict your information, receive a portable copy, or object to certain uses. Where processing relies on consent, you can withdraw it at any time without affecting earlier lawful processing.
